Privacy Policy

1. Scope

Kijitra, Inc. (the “Company”) handles personal information in accordance with Japan’s Act on the Protection of Personal Information and other applicable laws. This policy covers our corporate website, inquiries, business discussions and commissioned work. Any separate policy for an individual service also applies to that service.

2. Information we collect

  • Company name, name, email address, other contact details and information provided in inquiries or business discussions
  • Business contact information, correspondence, contract details and information necessary for billing and payments
  • Personal information in materials or systems entrusted to us as necessary for commissioned work
  • Website access information, device and browser information, and identifiers such as cookies

3. Purposes of use

  • Responding to inquiries, understanding requests, preparing related proposals and estimates, and arranging meetings
  • Entering into and performing contracts; website and system design and development; AI adoption support; delivery and support
  • Managing business relationships, billing, payments and legally required procedures
  • Analyzing website usage, improving presentation and usability, and addressing misuse or technical problems
  • Responding to requests and concerns about personal information

We collect and use information only as necessary for these purposes. Unless permitted by law, we do not use it beyond this scope without consent. Providing information is voluntary, but we may be unable to respond or provide services without necessary information.

4. Information entrusted to us

We handle personal information entrusted by clients only as necessary for commissioned work, in accordance with contracts and client instructions. When using external services or AI to process information, we review the scope of information, purposes and contract terms. Return or deletion at the end of an engagement follows the contract and applicable law.

5. Third parties and outsourcing

We do not provide personal data to third parties without consent, except where permitted by Japan’s Act on the Protection of Personal Information or other applicable law.

We may outsource the handling of personal information as necessary for our work. We select service providers, establish appropriate contracts and exercise necessary supervision. When providing personal data to a provider outside Japan, we follow legally required procedures, including information disclosure and obtaining consent where required.

6. Security and retention

We take necessary and appropriate safeguards against unauthorized access, disclosure, loss and alteration, proportionate to the information handled. We appropriately supervise personnel and service providers handling personal information. Details of our safeguards are available on request to the extent that disclosure does not undermine their effectiveness.

We retain information only for as long as necessary for its purpose or as required by law or contract, and appropriately delete or dispose of information no longer needed. In the event of a breach, we make reports to relevant authorities and notify affected individuals as required by law.

7. Cookies and external services

We use Google Tag Manager to manage tags and may use Google Analytics to analyze website usage. Identifiers such as cookies, visited pages, and device and browser information may be sent to Google through these services.

We also use Google Fonts to display fonts and jsDelivr to deliver interface functionality on some pages. Loading these external resources sends information necessary for communication, such as IP addresses and browser information, to their providers. Please see the policies below for their handling of data.

You can delete or disable cookies in your browser settings, although some features may not work. Google’s opt-out browser add-on can also be used to stop Google Analytics collection. Disabling cookies does not stop all communications with external resource providers.

8. Access, correction and other requests

In accordance with applicable law, you may request notification of purposes, access to retained personal data over which we have authority, correction, addition, deletion, cessation of use, erasure, cessation of third-party provision, or disclosure of third-party provision records. Contact the office below with your name, contact details and the nature of your request.

After verifying your identity or your representative’s authority to the extent necessary, we respond without undue delay as required by law. We explain verification and response methods when you contact us. If we cannot fulfill a request, we explain the decision and reason. For entrusted information over which we lack authority, we guide you to an appropriate process, such as contacting the commissioning client.

9. Changes to this policy

We review this policy as laws and our business change. We announce changes on this page and provide notice or obtain consent when required by law.
